You serve as the operational backbone of our agency, bridging the gap between high-level project goals and daily administrative precision. This role is designed for a strategic thinker who enjoys multitasking and wants to play a pivotal part in scaling a dynamic, creative environment.

What success looks like: Success in this role means that the team operates at peak velocity because you have anticipated needs before they arise. You will have mastered the art of “co-creating” with AI to automate routine tasks, ensuring that deadlines are met with high accuracy and that client communication remains seamless and professional.

Responsibilities

  • Operational orchestration: Manage complex calendars and email flows to protect the team’s focus and ensure priority tasks are addressed.
  • Project lifecycle support: Track and monitor project milestones, deadlines, and deliverables for various events, campaigns, and marketing initiatives.
  • Financial administration: Accurately prepare and process invoices, while monitoring billable workflows to ensure financial health.
  • Stakeholder liaison: Act as a primary point of contact for clients and suppliers, ensuring clear, inclusive, and professional communication across all channels.
  • Content & marketing coordination: Assist in the execution of social media strategies and marketing communications to maintain brand consistency.
  • Process optimization: Implement AI-driven workflows and prompt-based solutions to increase efficiency and organizational structure.
  • Event coordination – everything that has to do with events and coordination is your second nature, hospitality is your middle name. Structured task lists and flexibility comes with the job. Working days are never the same.
